Part Time Office Assistant

The 21-A District Agricultural Association is seeking a reliable and detail-oriented Part-Time Front Office Assistant to support the daily operations of our administrative office. The ideal candidate will be bilingual, customer-service oriented, and proficient in Microsoft Office, especially Excel. This position plays a key role in providing front office support, assisting with financial processes, and helping with event-related duties during the annual Madera District Fair. We have temorariily closed applications. If we do not hire from our first pool, we will reopen.

Job Title: Part-Time Front Office Assistant
Location: 21-A District Agricultural Association, Madera Fairgrounds
Reports To: CEO or Office Manager
Schedule: Part-Time (Hours to be determined; must be available to assist during annual fair dates, September 4-7, 2025)

Compensation: $17/hour

Key Responsibilities:

  • Greet and assist visitors, answer incoming calls, and respond to emails and mail professionally and promptly.
  • Provide excellent customer service in both English and Spanish.
  • Process and receipt incoming payments accurately.
  • Assist with data entry for accounts receivable.
  • Create, format, and maintain spreadsheets and reports using Microsoft Excel.
  • Maintain and organize paper and electronic filing systems.
  • Monitor office supply levels and assist with ordering as needed.
  • Support the preparation and distribution of reports and other administrative documents.
  • Perform additional administrative and clerical duties as assigned by management.
  • Assist with fair-time operations, including customer service, vendor and participant check-in, coordination of event materials, and other on-site support during the annual fair.

Qualifications:

  • Bilingual (English/Spanish) required.
  • Proficient in Microsoft Office Suite, with strong Excel skills.
  • Previous office or administrative experience preferred.
  • Strong communication and interpersonal skills.
  • Ability to multitask and maintain attention to detail.
  • Dependable, organized, and a team player.
  • Willingness and availability to assist with fair-time activities, physical activity with mild lifting and work extended hours during the fair as needed.

Work Environment:

This role operates in an office setting with standard equipment such as computers, phones, copiers, and filing systems. The position includes regular interaction with the public, vendors, and internal staff. Fair-time duties may require being on your feet, physical activity, able to lift items 25-40lbs and working in fast-paced environments.

  • Capable of taking direction and following instruction

  • Capable of lifting, moving, loading and unloading construction materials
